How to Calculate Employee Salary from Attendance?
Salary calculation starts with two things:
- Applicable monthly salary
- Payable attendance
Simple formula:
Monthly Salary ÷ Payroll Divisor × Payable Days
Payable Salary
What Counts as Payable Days?
Depending on the contract and payroll rules, payable days can include:
- Present days
- Paid leave
- Weekly off
- Paid holidays
Unpaid absence or Loss of Pay generally reduces payable salary.
Example
Monthly Salary: ₹26,000
Payroll Divisor: 26 days
Payable Attendance: 24 days
Daily Rate:
₹26,000 ÷ 26 = ₹1,000
Payable Salary:
₹1,000 × 24 = ₹24,000
What About Weekly Off?
Do not automatically deduct weekly off.
If the employee is eligible for paid weekly rest under the applicable rules and attendance conditions, it should be treated correctly in payroll.
What About Leave?
Paid Leave → Included in payable days
Unpaid Leave / LOP → Salary deduction may apply
Always follow the employee's applicable leave and contract rules.
What About Overtime?
Overtime should be calculated separately according to the applicable law and contract.
Do not simply add normal daily wages for extra hours without checking the correct overtime rate.
Important
Attendance and salary structure are different.
Salary Structure
Employee's full-period entitlement
Attendance
How much of that entitlement is payable for the month
Conclusion
The correct process is:
Salary Structure → Attendance → Paid Leave / Weekly Off → LOP → Overtime → Final Payroll
DhirekOne helps contractors connect attendance directly with payroll so salary calculations remain consistent across employees and contracts.
